Every time you open PowerPoint, you’re actually choosing how you want to look at your presentation. Editing a slide, reordering fifteen slides, writing a script for yourself, or presenting live in front of a class each need a different “view.” PowerPoint anticipated this and built seven distinct views for exactly these situations. Knowing which one to use, and when, is one of those small skills that makes the difference between a presentation that looks amateur and one that looks like you know exactly what you’re doing.

What are slide views and why they matter

A slide view is simply a way of displaying your presentation on screen. The content of your slides doesn’t change between views, but how you interact with that content does. According to Microsoft’s own documentation, PowerPoint offers separate views for creating a presentation and for delivering it, and switching between them is meant to be quick and frequent, not a one-time decision.

Think of it like switching lenses on a camera. You wouldn’t use a wide-angle lens to take a portrait, and you wouldn’t use a macro lens to shoot a landscape. Similarly, you wouldn’t use Slide Show view to edit text, and you wouldn’t use Normal view to rearrange twenty slides at once. Each view exists because a single flat “editing screen” simply can’t do everything well.

Normal view: your main workspace

Normal view is what opens by default the moment you launch PowerPoint, and it’s where you’ll spend most of your time. It has three working areas: a thumbnail pane on the left showing all your slides in sequence, a large central pane displaying the slide you’re currently working on, and a notes pane below it for typing speaker notes as you go.

This is the view for actually building your presentation, adding text, inserting images, formatting bullet points, and designing layouts slide by slide. Because you can see thumbnails of surrounding slides while editing the current one, it’s easy to keep the overall flow in mind even while focused on details. Once you have a reasonable number of slides in place, Normal view stops being convenient for reordering them. That’s where Slide Sorter view comes in. It displays every slide as a small thumbnail, arranged in rows, so you can see your entire presentation at a glance.

This view is purely about sequence and structure. You can drag slides around to change their order, delete slides that no longer fit, duplicate one to create a variation, and even group slides into sections for longer presentations. It’s especially useful right before you finalise a deck, when you want to check whether the story flows logically from introduction to conclusion. Notes Page view: writing your speaker script

Every slide in PowerPoint has a hidden notes area attached to it, and Notes Page view is where that area takes centre stage. In this view, the slide appears as a smaller image at the top of the page, with a large text box below it meant for typed notes.

According to Microsoft, these notes can later be printed and referred to while presenting, or shared with the audience as supplementary material, or even attached to a presentation sent out over email. Importantly, whatever you type here is invisible to your audience during a live slide show. It’s meant purely for the presenter, or for anyone reviewing the deck later without you there to explain it verbally.

For commerce students, this view is genuinely useful. If your presentation covers something like ratio analysis or a case study, you can keep detailed explanations, formulas, or data sources in the notes without cluttering the actual slide, which should stay visually clean and readable from the back of a classroom.

Slide Show view: presenting to your audience

Slide Show view is the delivery mode. It takes over the entire screen, displaying one slide at a time exactly as your audience will see it, with any animations, transitions, and multimedia running as designed. There’s no toolbar, no thumbnail pane, and no notes visible to onlookers, just the slide itself.

You navigate through slides using the keyboard, mouse clicks, or a presentation remote. Many versions of PowerPoint pair this with Presenter View on the presenter’s own screen, which quietly shows your notes, a timer, and a preview of the next slide, while the audience only sees the clean slide. This separation is what makes Slide Show view essential for actual presenting rather than editing.

The master views: setting universal design rules

The three views covered so far deal with individual slides or their order. The next set works differently. Instead of touching one slide at a time, master views let you set design rules that apply across the entire presentation, or across every printed handout or notes page, in one place.

Microsoft groups these under Master views, which include Slide, Handout, and Notes masters. The key benefit is efficiency: instead of manually changing the font or logo on fifty individual slides, you change it once on the master, and it updates everywhere automatically.

Slide Master view

The Slide Master controls the fonts, colours, background, placeholder positions, and overall theme used across every slide in your presentation. Microsoft explains that when you edit the top-level slide master, every slide layout linked to it inherits those changes. This is why it’s recommended to set up your slide master before you start adding content, so all new slides automatically follow the same visual style rather than needing individual fixes later.

If your college asks you to submit a presentation with a specific colour scheme or a consistent logo on every slide, Slide Master view is where you’d set that up once, rather than repeating the task fifty times over.

Handout Master view

Handouts are the printed versions of your slides that you might give to classmates or an audience to follow along with, or take notes on. The Handout Master controls how these printed pages look, including how many slides appear per page, headers and footers, page orientation, and any background elements. As Microsoft notes, any change made here is reflected across every page of the printed handout automatically.

Notes Master view

Similarly, the Notes Master controls the printed layout of your notes pages, the ones created in Notes Page view. Here you can adjust font size, placeholder positions, and page orientation for how your speaker notes will appear when printed for reference. Microsoft’s guidance on formatting notes text points out that these font and layout customisations affect only the printed notes pages, not what you see in the regular Notes pane while editing.
