An app, short for application, is software built specifically to run on a device such as a smartphone or tablet, rather than being a general-purpose program designed for a desktop computer. What sets an app apart is not just the device it runs on but its scope. Hybrid apps sit between the two. They are wrapped inside a native shell so they can be listed on app stores and access some device features, while the core is still built using web technologies.   • Banking and payment apps: In India, UPI-based payment apps have become central to daily transactions, reflecting how a single-purpose financial app can reshape an entire economy.

How apps reach your device: digital distribution platforms

Apps rarely arrive through a company website or a CD, the way older desktop software did. Instead, they are distributed through centralised marketplaces such as the Google Play Store and the Apple App Store. These platforms let developers publish an app once and reach millions of users instantly, while giving users a single place to search, compare, and install what they need.

This convenience comes with a responsibility to check what an app is allowed to access. Government cybersecurity guidance recommends limiting downloads to official app stores and reviewing the permissions an app requests before installing it, since even legitimate-looking apps can ask for more access to contacts, location, or storage than their function actually requires. For a business student, this is a useful reminder that convenience and security have to be weighed together when choosing digital tools for a company.

Why app-based software matters for business

App-based software has become central to how businesses reach customers, largely because of how deeply smartphones have penetrated everyday life. In India, digital adoption has moved well beyond metro cities. Industry reporting shows that smartphone users now account for close to half of India’s population, with UPI-based apps handling billions of monthly transactions that were negligible just a decade ago. This shift has pushed businesses of every size, from neighbourhood retailers to large enterprises, toward building or adopting apps for ordering, payments, customer support, and marketing.

For a small or mid-sized business, an app is often cheaper and faster to build than a full desktop software system. It also meets customers where they already spend their time, which is on a phone rather than at a desk. This is one reason many companies now design their digital strategy around a mobile-first approach rather than a website-first one.

Points to weigh before relying only on apps

Apps are efficient, but their narrow focus is also a limitation. A business that needs several connected functions, say inventory management, billing, and payroll working together, may still find a traditional integrated software system more practical than juggling five separate apps. Frequent updates, dependence on stable internet for some apps, and the permission-related security concerns mentioned earlier are also worth factoring into any decision about which apps a business chooses to build or install.
