Walk into any office where filing is done without a plan, and you will see the same problem: staff spending twenty minutes hunting for a document that should have taken twenty seconds to find. The difference between chaos and control almost always comes down to one thing, the system of classification used to organise records. A good classification system decides where a file lives, how it is labelled, and how quickly it can be traced when someone needs it. Get this wrong, and even a small office drowns in paper. Get it right, and retrieval becomes almost automatic.

Why classification matters before you file anything
Classification is the process of grouping records into logical categories before they are stored. It comes before actual filing, because you cannot arrange documents sensibly unless you have already decided the basis on which they will be grouped, whether that is by name, subject, place, date, or a combination of these. Records management guidance generally narrows this down to three foundational systems: alphabetical, numeric, and alphanumeric. Every other variation you encounter is essentially a refinement of one of these three, adapted to suit the volume and nature of the records involved.
The right choice depends on a few practical questions. How many records does the office handle? Are they mostly correspondence, contracts, invoices, or personnel files? Will multiple departments need access, or just one team? Answering these questions first saves an office from redoing its entire filing structure a year later.
Alphabetical classification systems
Alphabetical classification arranges records by the letters of the alphabet, using names, subjects, or places as the filing unit. It is the most intuitive system because most people already think in alphabetical order, which is why it remains common in small and mid-sized offices.
The topical or dictionary system
In this method, individual topics are filed strictly in A-to-Z order, much like words in a dictionary, without any attempt to group related subjects together. A file on Advertising and one on Audit would sit far apart from each other even though both relate to business operations, simply because their first letters are different. This approach works best when the volume of records is small and users only need to locate one clearly named topic at a time rather than browse related material.
The encyclopedic system
Here, records are grouped under broad main headings first, and only the subdivisions within each heading follow alphabetical order. It behaves more like a printed encyclopaedia, where an entry on a general theme contains several related entries nested beneath it. Government records handbooks note that subject files following an encyclopedic arrangement often add numeric codes to the folders as well, which keeps related material together while still allowing fast retrieval through an index. This is particularly useful for departments like human resources or finance, where dozens of sub-topics fall under a handful of broad heads such as recruitment, payroll, or taxation.
Geographic classification
Geographic filing organises records by location rather than name or subject. An export firm dealing with clients across countries, or a bank with branches in multiple states, will often find this system more useful than a purely alphabetical one. The process typically starts by defining the geographic units to be used, whether continent, country, state, or district, and then arranging records alphabetically within each unit. Office management textbooks describe how this can be applied at the level of towns, districts, states, or countries, with records inside each geographic folder often arranged alphabetically or numerically by party name. Sales teams handling regional customer orders and firms tracking correspondence by branch office rely heavily on this variant.
Numeric classification systems
Numeric systems assign a number to each file instead of a name or subject, and records are then stored in numerical sequence. Because numbers alone reveal nothing about the content of a file, this is described as an indirect access system, meaning a separate index or register must always be consulted first to find the number linked to a particular record.
Straight numeric filing
This is the simplest variant, where files are numbered sequentially starting from one, and new files simply take the next available number. While straightforward to set up, this method can become congested around actively used number ranges and always depends on an index for retrieval. It is widely used for invoices, purchase orders, and contracts, where the record itself already carries a natural serial number.
Duplex numeric filing
Duplex numeric classification uses two or more sets of numbers, one representing a main category and the other a subcategory, connected by a decimal point or hyphen. A company might use 25 for a broad product line and then 25.1, 25.2, and 25.3 for individual products within it, keeping related records grouped while still allowing unlimited expansion. This structure is commonly recommended for filing sales records, invoices, and committee minutes, where numbers are already assigned as part of standard business documentation.
Chronological filing
Chronological classification arranges records purely by date, which is useful for tracking the sequence of events but rarely works as a standalone system. It is usually combined with an alphabetical or subject arrangement first, with records inside each folder then ordered by date, since date alone cannot tell you which client or subject a document belongs to.
Alphanumeric classification systems
Alphanumeric classification combines letters and numbers to get the best of both worlds, the intuitive grouping of alphabetical systems with the compactness and expandability of numeric coding. Letters usually represent a broad category, while numbers mark the subcategory or sequence within it. A typical alphanumeric scheme might use one letter or number for a broad group, such as customers or employees, and then a further number or letter to mark subcategories such as accounts receivable versus accounts overdue. A university applying this to course material might use codes like CS101 for computer science or BUS201 for business studies, where the letters instantly signal the department and the numbers indicate the level.
Government offices in India rely on a version of this logic at a much larger scale. The Central Secretariat Manual of Office Procedure prescribes a functional file numbering system, where a department’s activities are first broken down into main functions, then into specific activities and operations, and a standardised file index is built from that hierarchy. Departments can either follow this functional numbering approach or a subject classification based numbering system, where each section maintains an approved list of standard subject heads with allotted numbers. This is essentially alphanumeric classification applied to an entire ministry, built for consistency across thousands of files and multiple offices handling the same subject matter.
Choosing the right system for your records
No single system is universally correct. The right choice depends on the type of records, the volume being handled, and who needs access to them.

A small proprietorship dealing mainly with client correspondence will usually do fine with a simple alphabetical system. A hospital tracking patient records across departments, or a large company processing thousands of invoices a day, needs the added structure that numeric or alphanumeric classification provides. The general rule worth remembering is this: the smaller and more homogenous the volume of records, the simpler the system can afford to be. The larger and more varied the volume, the more the system needs numbers and codes to stay searchable rather than just alphabetically neat.
Getting classification right from day one
Offices that get filing right rarely start with the fanciest system. They start by studying what kind of records they actually generate, how often those records are retrieved, and by whom. Only then do they pick between alphabetical, numeric, or alphanumeric classification, sometimes blending two systems, such as geographic classification combined with alphabetical ordering within each location. What matters most is consistency. A system changed midway, without proper cross-referencing, creates more confusion than no system at all.
