Every office generates paper trailsinvoices, client files, correspondence, personnel records. Without a system to point to where a specific document lives, even a well-organised filing cabinet becomes a black hole. That’s where indexing comes in. It works alongside filing to tell you exactly where a record sits, so nobody wastes an afternoon flipping through drawers. But not every organisation needs the same indexing setup. A five-person consultancy and a 500-employee corporate office have very different volumes of paperwork, and the indexing method has to match that reality. Let’s look at the five main types of indexing used in offices, how each one works, and where each one fits best.

What indexing actually does

Indexing is essentially a locator system. It doesn’t store the full document – it stores a reference that tells you where the document is filed, whether that’s a page number, a card, or a slot in a cabinet. A good index needs to be simple to use, economical to maintain, flexible enough to handle new entries, and quick to search. The study material published by IGNOU on filing and indexing frames this clearly: the choice of index method depends on the nature of records, the volume being handled, and how frequently entries need to be added or updated. Keep that in mind as we go through each type, because the “best” method really depends on context.

Page indexing

Page indexing is the oldest and most familiar form of indexing – think of the alphabetical tabs at the edge of an old-fashioned diary or telephone directory. A set of pages is allotted to each letter of the alphabet, and entries are recorded under the relevant page in the order they’re received. It’s inexpensive and easy to understand, which is why smaller offices with limited correspondence still use it. However, it comes with a fairly obvious catch: since entries are written in the order they arrive, if a page for a particular letter fills up, there’s no room to insert a new entry alphabetically. This is the core drawback that pushed offices toward more flexible systems.

Book index

In a book index, the record book is bound permanently, much like a hardcover register. Once a page under a given letter is full, you’re stuck – no more entries can be added under that section unless you cross-reference to another page. It works fine for organisations with low and fairly predictable correspondence, but it doesn’t scale well.

Loose-leaf book index

A loose-leaf book index fixes that one flaw. Instead of a bound book, pages are held in a binder using rings or a similar mechanism, so individual sheets can be added, removed, or rearranged as needed. This gives you the simplicity of a page index with a bit more room to grow. It’s still restricted by the physical page layout, though, and it isn’t ideal once record volumes get genuinely large.

Loose or vertical card indexing

Vertical card indexing was developed specifically to overcome the rigidity of page indexing. According to a detailed overview of indexing systems, the loose card index is credited to Abbรฉ Jean Rozier, an 18th-century French inventor, and it remains one of the most widely used systems in modern offices. Each subject, customer, or document gets its own separate card of uniform size – commonly around 5×3 inches – carrying the name, address, phone number, or other relevant details. Cards are arranged alphabetically, numerically, or by subject inside drawers, with guide cards inserted to mark sections. A hole is punched through each card so a metal rod can run through the stack, keeping the cards upright and in sequence while still letting you slide individual cards out.

The biggest advantage here is flexibility: you can insert a new card anywhere in the sequence without disturbing the rest, unlike a page index where you’re boxed in by fixed page space. It’s also relatively inexpensive and simple to maintain. The trade-off is that only one card is visible at a time – you have to flip through the stack or use guide cards to locate what you need, which slows things down when you’re searching frequently.

Visible card indexing

Visible card indexing solves the “one card at a time” problem directly. Cards are arranged in overlapping rows inside a tray, binder, or panel so that a strip of every card – usually containing the name or key identifying detail – stays visible at all times, even though the bulk of each card’s information is tucked behind the one above it. This is sometimes called a “look and get” system, and as office management course material notes, it directly addresses the major limitation of ordinary card indexing, where a large number of cards can’t be scanned at a glance.

Visible indexing also allows for signalling – small coloured tabs, clips, or plastic markers attached to the exposed edge of a card to flag something quickly, like an overdue account or a VIP client, without opening the card at all. This makes it genuinely fast for offices that need frequent reference, such as accounts or client-servicing departments. The catch, as a records-management resource on indexing methods points out, is cost – the trays and panels required are considerably more expensive than a basic card index, and adding or removing entries takes more time because of how the cards overlap.

Strip indexing

Strip indexing is built for situations where each entry needs only a single line of information – a name, an address, a phone number. Narrow strips of stiff card are fitted into a metal frame, arranged alphabetically or numerically, with every strip visible at a glance. According to notes on filing and indexing systems for commerce students, the strips can be inserted, removed, or rearranged easily, and the frames themselves can be mounted on a wall or fitted onto a rotary stand to save desk space.

This method is compact and doesn’t need bulky cabinets, which makes it a natural fit for small offices, clubs, or reception desks handling a limited number of contacts. Its limitation is baked into its design: because each strip holds only one line, it simply can’t accommodate detailed records. It’s a quick-reference tool, not a full record-keeping system.

Wheel or rotary indexing

Wheel or rotary indexing takes the visible card concept and wraps it around a rotating mechanism. Cards of uniform size are mounted around the rim of a wheel or drum, which sits on a stand or is built into a desk unit. To find a card, you simply rotate the wheel until the required section comes into view. The IGNOU indexing unit describes it plainly as a modified form of visible card indexing, portable or fixed depending on the equipment used.

The space efficiency here is significant. A single wheel can reportedly hold close to a few thousand cards depending on its diameter, and several wheels can be arranged within arm’s reach of one desk, according to the same commerce reference on indexing types. That means a large number of records can be accessed without needing rows of filing cabinets. Offices that deal with high card volumes but limited floor space – sales teams managing client contact cards, for instance – tend to gravitate toward this system. The downsides are the ones you’d expect from any mechanical equipment: the wheel unit costs more than a basic card index, and staff need some training to operate and maintain it properly.

Choosing the right method for the job

There’s no single “correct” indexing system – the right choice depends on a few practical factors. Volume matters first: a handful of records can sit comfortably in a page index, but thousands of entries call for something like vertical card or rotary indexing. How often the information changes matters too. If details are updated constantly, a loose-leaf or card-based system will save far more time than a bound book that locks you into a fixed layout. Space is another real constraint in Indian offices, where desk and storage room is often limited – this is exactly why compact options like strip or rotary indexing exist. Finally, budget plays a role, since visible card and rotary systems need dedicated equipment that a small office might not be able to justify for a modest volume of records.

In practice, many offices don’t rely on just one method. A reception desk might use strip indexing for quick contact lookups while the accounts department maintains a visible card system for client files – the systems complement each other rather than compete.
